In this tutorial, you will see how to create a mail merge using Gmail in spreadsheets. Although there are many other possible ways to create a mail merge using Gmail, here you will see the best and easiest way to create mail merge which I personally prefer. Using mail merge now becomes important a lot especially to those who are running big companies and those who have a number of people connected to them.

What is Mail Merge?

Before we begin, let us know what mail merge exactly is? Let us consider an example suppose if school teacher has to give assignments to the students then, he can manage to send the same email to everyone without sending them individually using mail merge or if a company wants to send the information to their employees then he manages to send an email to everyone with mail merge.

Mail Merge documents are also available for Mac users. Here are the simple steps to creating your own mail merge document for Microsoft Word for Mac. Open the document that will be used for the Mail Merge document on Propertybase. Mail merging in Gmail is a strategy used to make cold emailing and email marketing simpler and more effective. Put simply, mail merging allows you to use an existing spreadsheet (or other easily parsed database) to customize individual emails based on a preexisting template. Simply input a folder path with the column names from the spreadsheet and Go Mail Merge will automatically add each personalized attachment for the respective recipient.

How to Create a Mail merge using Gmail in Spreadsheets

STEP 1: Open your Gmail account and Sign in with your login credentials. Now Tap on the Google apps icon on the top right side of your screen (see below screenshot if unable to identify).

STEP 2: Now select Drive app from the drop-down apps list. You can also choose Docs in more apps option, (but here in this tutorial we are using spreadsheets option to create mail merge).

STEP 3: After Spreadsheet opens tap NEW, Change its name (here I have renamed it as My Mail Merge), you can choose according to you.

STEP 4: Now write down the details you want to list in a spreadsheet. I have marked as Name, Age, Place, Email Address. You can write according to your criteria. See STEP 5 if you want automatically to attach names, address and other details you have in your Google Account.

STEP 5: Now tap over to Add-ons> Get Add-ons. Now search for new add-ons Yet Another Mail Merge. This add-on is free of cost and easy to use. By using Yet Another Mail Merge you can easily add automatically names, contact, the email address that you already have in your Google Contacts.

STEP 6: Now go back to Gmail account you have logged in in STEP 1. Now create a new Draft there and save it. If you want to send an email with specific names or address to a specific individual then must write as $%name/location%. If you are unable to understand this you must see below screenshot to make it clear. Save this draft. Do not write anything in the field of Recipients. Left it as blank.

STEP 7: Then again go to the spreadsheet you have created and navigate to Add-ons> Yet Another Mail Merge> Start Mail Merge. Click continue if option displays.

NOTE: If you are using free version then you can send mail to 50 Recipient only. You can buy a package or one free option is to invite your friends to exceed your daily limit of sending emails. For this, a Dialogue box will appear otherwise select continue for next step.

STEP 8: Now a dialogue box will appear (as shown in below screenshot), You can edit Senders Name (Your Name) and select Email Template as the subject you have written in Saved Draft earlier in STEP 6 ( I have written Hi $%NAME%). Now tap Send 4 Mail ( here I have 4 email address).

STEP 9: Your email successfully sent to the address you provided, but still you can send an email to 46 other members as total free quota limit up to 50 Emails a day. It will show you Merge Status in the next column of your detail once you send emails.

After following these steps you can easily create a mail merge. Let us show you how it appears to the receiver, the email you have sent.

Check out the name, age and place automatically appear by using the text as discussed in STEP 8. You need not have to write the individual name as it consumes your time a lot.


No Doubt Mail Merge with Gmail is the best option. You can have a daily limit of 50 Recipients, but if you want to exceed this limit you have to buy plans according to your need or daily email usage.

Mail merge is a dynamic solution for the production of multiple documents dynamically after merging data from external sources like- xlsx, xls, CSV, docx, rtf, txt, you just need to design a template document only ones. Finally created outputs can be sent out to many 'recipients' in the form of attached PDF or embedded HTML formats using any SMTP setting. It can be your web, or public mail SMTP like-ServerName-

Note: Please enable 'Less secure app access' from security settings if you want to send emails from Gmail and yahoo as they are not allowing to send emails from third party Apps.
The application smartly fills external data into placeholders which were created while designing a template from the external data source and dragging data variables from Data Merge Palette into the template document.
- Supported emails with embedded images (it will show images inline). Now users can advertise/communicate their business to customers/clients that can be be viewed in all available devices including mobile and tabs. The user has also an option for sending emails as a PDF attachment.
- Now users can embed any image into the text at any location with many options like- scale, resize, copy, and paste images in the context menu (right-click menu) and application’s Item menu. You will WYSWYG output (what you see and what you get).
- Users can add/delete/edit hyperlinks into the text as well as images.
- Provided an option to generate and show the failure email list.
- Supported embed Videos (inline videos) with controls, autoplay, and loop options. Now users can create HTML files with images and videos from the designed template as many as users wish. (To apply these options, Go to App Menu- Tool->Show Video Hyperlink Palette)
- Users can add a hyperlink inbox level with options like an open link in the same window or in separate windows. Now user can add hyperlink by clicking the right mouse button on any box (to display context menu) and click on the 'Add Hyperlink on BOX' menu item.
